Are you an experienced Executive Assistant looking for an exciting opportunity to work with senior leaders in a global business?

 

DHL Global Forwarding UK is seeking an Executive Assistant to support both the UK CEO and Europe VP of Industrial Projects in a dynamic and fast-paced environment.

 

Role Overview:
This is a 12-month fixed-term contract (Maternity Cover) working 37.5 hours per week, Monday to Friday, 09:00 to 17:30 or 08:00 to 16:00. The position is hybrid, working from home and from our new UK head office in Staines.

Key Responsibilities:

  • Provide comprehensive administrative support to the UK CEO of Industrial Projects & Europe VP, including managing travel, expenses, diary, and meetings.
  • Coordinate office supplies, inventory management, and order processing.
  • Maintain and troubleshoot office equipment, audio-visual setups, and technical equipment for live events.
  • Plan and organise events, meetings, and off-site venues.
  • Manage payment processes for taxis, meals, and other expenses.
  • Use Coupa and Concur systems to raise POs, submit invoices, manage travel, and handle expenses.
  • Support with general admin tasks such as updating distribution lists, organising communications, and assisting with team needs.
  • Organise and host bi-weekly Tender Review Board (TBR) calls, including booking calls in the system, facilitating meetings, and distributing action points.

 

About You – You will have:

  • Previous experience as an Executive Assistant or Personal Assistant supporting senior management (MD, CEO, or similar)
  • Proficiency with MS Office, including Outlook, Excel, and PowerPoint
  • Strong organisational skills with the ability to handle multiple tasks and deadlines
  • Experience with travel and diary management, as well as financial administration (invoices, POs)

  • Future Opportunities: While this is a fixed-term contract, there may be opportunities to apply for internal roles after 12 months.
