Hours - Tuesday to Thursday 9.00am - 5.30pm (12 Month FTC) – Flexibility needed to work occasional Monday and Fridays  



This is a great opportunity to join our growing firm as a key member of our Facilities Team, you will work with our Office Coordinator to ensure our working environments run effectively and use your exceptional communication and organisational skills to deliver excellent customer service to clients and colleagues. 


As Receptionist, you will be dealing with clients face to face, by email and on the telephone, as well as working with colleagues across our three offices to facilitate the efficient delivery of our legal services.



Key Responsibilities:


Reception management 

  • Meeting and greeting clients, 
  • Managing meeting rooms (IT set up, video conferencing, refreshments), 
  • Ordering supplies (tea, coffee, lunches for meetings), and taking receipt of office deliveries, 
  • Reactive and proactive maintenance of client and employee areas (such as preparing rooms for meetings), and escalating concerns where appropriate. 


Administration 

  • Arranging couriers, managing post and scanning post onto database when needed. 
  • Ad-hoc administration tasks.


Health, Safety and Security 

  • Supporting with logging and escalating accidents/incidents arising, investigating reports in Accident Book. 
  • First aider 
  • DSE (Display Screen Equipment) Assessor 
  • Fire marshal and Supporting with fire and safety checks.
  • Ensuring office security is implemented (checking windows are locked etc.)


Environmental, Social and Governance Committee (ESG) 

  • Actively work on the ESG initiatives of the firm for specific office location, for example setting up events as directed.
  • Ensuring office maintenance processes reflect our commitment to sustainable practices. 
  • Work with the Diversity forum on any changes recommended for office inclusivity.


People 

  • Provide essential cover for the Senior Office Coordinator. 
  • Support and cover for Facilities team members in the other offices on occasion.


You will be committed to excellent customer service, with some experience of working in an office, or on a reception. Confident with your IT skills but be willing to learn our client database software and our video conferencing facilities. As well as being approachable and have a willingness to help and support others across a wide variety of requests.


It is essential you are either already qualified, or willing to undertake training in first aid, fire safety/fire marshal, and safe manual handling.
